Co-ordination, monitoring and follow-up of all aero-medical transfers, as set out in their job description, within the structure of the medical aviation team. Interfacing with Co-ordinating Doctors, Medical Transport Doctors, Aircraft Operators, Medical Flight Crew, supporting service providers and third party aero-medical providers, Operations Managers, Regional Flight Desk Manager and Regional Flight Desk Medical Director
Core Responsibilities / Duties:
Receive incoming calls on the dedicated Air Rescue Africa line/internally transferred calls.
Receive active cases from the International SOS lead Alarm Centre where the need for an aero-medical transfer has been identified.
Preparation/presentation of quotations for air ambulance missions.
Liaison with support structures of mission
Activation of aero-medical missions
Close monitoring of aero-medical missions
Ongoing communication with aircraft operator and ground ambulance provider during missions.
Adequate documentation of initial and ongoing actions
Compilation of final costing for the claims department
Submission of monthly flight statistics
Maintenance of crew contact details/requirements
Maintain accurate record of documentation for legal purposes
Involvement in Quality Improvement of service as allocated by the Aviation Manager / Aviation Medical Director
Adequate handover procedure on active cases
Promotion of Air Rescue Africa services
To ensure continuity of service delivery by answering all requests for assistance in a timely manner
Active maintenance and handling of all FDJ cases, utilizing the internal resources of International Alarm Centres and other Regional Flight Desks and external correspondent structures and brokers where necessary.
Maintaining relevant databases.
Forward any relevant information to assist with the development of the network of organization service providers.
Actively participate in transmission.
Being involved in the provision of relevant evacuation planning information for MSERP (Medical Services Emergency Response Plan) requests in a swift and timely manner.
Ensure that the Regional Flight Desk Manager is fully and regularly briefed on issues and complex cases / complaint cases which may impact the delivery of service.
Other Duties:
Maintain clear and accurate case records and to ensure that cases are correctly prepared for hand-over to the billing department.
Attend training and meetings as and when required. There may be a necessity for these to be outside normal working times for which you would be paid overtime.
Work within and promote all International SOS's policies and procedures.
Carry out any other reasonable duties as requested by the manager.
Work as part of a 24/7 shift pattern
Requirements:
Education
Minimum Grade 12 plus a tertiary qualification
Ex perience
1 year experience in aviation/aero-medical dispatch or supervision of Air Medical Transportation
Knowledge of Air Ambulance providers, Aircraft types and capabilities is essential
1 year call centre experience (preferable)
Skills / Knowledge
Good geographical knowledge
IT literate and proficient in the usage of contemporary computer software including Microsoft Outlook and Word.
Advantageous attributes
Experience in a corporate and/or medical environment
A medical background/training will be an advantage
Aviation training is an advantage
The ability to work swiftly and accurately under pressure.
Excellent verbal and written communication skills.
Languages
100% fluency in English
